Admin/Finance Officer

Worldwide Education and Care are currently recruiting for an Admin/Finance Officer for one of our wonderful school clients in the Windsor area. This role is on a long term contract, with the potential of becoming permanent for the right candidate.

Scope of the Job.

  • To contact with school visitors, teachers, parents, students, Governors, support staff in the Education Directorate etc.
  • Required to operate in a busy, often noisy environment and required to juggle conflicting priorities.
  • The school offices are often the focus of support activities in the school. All enquiries, visitors, students and staff will interact with those in the offices.

  • Will have access to confidential information, which must be dealt with discretely.

Knowledge and Skills

  • Administrative qualification eg NVQ level 3 or equivalent by experience
  • ICT literate and able to operate software at an intermediate level
  • Sound communication skills
  • Able to take minutes – desirable but not essential
  • Able to use technology and office equipment to improve the efficiency of the school office.
  • Able to relate to colleagues in a calm and sympathetic manner

Job Responsibility

  • Provide administration support as required including typing highly confidential reports/correspondence, personnel letters, and maintaining accurate and efficient filing systems across a range of support functions.
  • Produce a variety of correspondence, documents, spreadsheets and brochures using appropriate word processing, graphics, DTP packages to suit the individual document. Ensure documents are produced to the required standard and time scales.
  • Undertake a full range of HR administration duties and ensure Trust procedures are followed in the advertising, shortlisting and appointment of staff and following appointment: health checks, Disclosure and Barring checks, Identity checks, references, contract issue etc. Prepare appointment, variation and termination forms as required.
  • Ensure personnel details are entered and updated on Sims and maintain Single Central Record.
  • Work with our payroll provider to oversee the payroll function of the school ensuring all payments to third parties (staff salaries, HMRC, NI and pension contributions, childcare voucher deductions etc) are accurate.
  • Update staff filing systems and ensure the secure disposal of sensitive and confidential materials when regulations permit.
  • Hospitality coordination as required
  • Perform duties in line with Health & Safety rules and to take remedial action where hazards are identified. Where hazards are serious report to line manager immediately.
